DLP: Update to DocsCorp cleanDocs allows recipient checking to prevent breaches

Data loss prevention is at the heart of the latest product release by DocsCorp, which has expanded the functionality of its metadata cleaning tool cleanDocs to help users prevent accidental leaks of sensitive information via email.

cleanDocs 2.0 combines metadata cleaning and email recipient checking in a single product, meaning users can now ensure that private information is going to the right person and that it contains no harmful metadata.

The latest version integrates with Microsoft Outlook to check emails before they are sent externally, identifying potential issues within the list of recipients such as public and generic domains, and colour-coding them according to risk level.

The sender is asked to confirm that each addressee is an intended recipient before the email is sent. From here the user can clean potentially harmful metadata from attachments, convert them to PDF and compress them to reduce file size in one application.

cleanDocs 2.0 includes Configuration Manager – a tool that allows administrators to control all cleanDocs settings and policies.

The launch comes as law firms are increasingly looking for DLP solutions to prevent data breaches resulting from human error: data from the ICO shows that 37% of all data breaches reported in 2017 were due to information being sent to the wrong recipient.

In June, DocsCorp’s rival Workshare launched its matter file security initiative Protect Everywhere, which embeds a distribution rules engine at both the desktop and Exchange level, protecting against emails being sent to eg Gmail accounts, and launched a Risk Analytics tool to provide users with a visualisation of where the major risks are.
